Tools for Membership Planning

These last couple months before the end of the PTA year are an important part of your membership year. Now is a great time to start laying the groundwork for a successful fall.

Two key resources to help you set up for a successful new membership year are your standing rules and the Membership tools available on the Leadership Guides page of the the Washington State PTA website.*️

Use the steps below and the suggested tools to help you move toward a setting up a successful fall membership campaign!
  1. Find a copy of your PTA's standing rules and read through them. Have there been any changes? If memberships and prices are listed there make note of those so that you can make sure your membership forms match.
  2. Review the concepts outlined in Membership Strategy that Works*️ and start thinking about how to communicate the value of your PTA to potential members.
  3. Pick a unifying theme. Use the PTA Membership Drive Themes*️ guide as a source of inspiration and to help you get the most out of your membership theme.
  4. Create a draft membership form for next fall. Use the Membership Form Quiz*️ to help you review your draft and make it even stronger.
And don't forget to take time to read the Membership Handbook*️! It offers a wealth of information about all aspects of membership and it includes a monthly calendar to guide you through the membership year.

WSPTA Outstanding Advocate, Nancy Chamberlain

The WSPTA Outstanding Advocate Award was established in 2004 to recognize an individual for his or her statewide advocacy and commitment in helping to create strong policies relating to the health, welfare, safety and education of children and youth. The individual should have furthered WSPTA’s policy positions (legislative principles, resolutions, and legislative issues) by activities such as, but not limited to, submitting policy positions, testifying on policy positions on behalf of WSPTA, or representing WSPTA on workgroups or coalitions.

This year's recipient is Dr. Nancy Chamberlain. She currently serves not only on the WSPTA Board of Directors as  Finance Officer, but also as Northshore Council PTSA's co-VP of Advocacy. She has dedicated many years to being a voice for all children, mentoring advocates and PTA leaders, and being all-around awesome. 
Heidi Baron Bennett, recipient of the 2019 Outstanding Advocate award, has graciously given permission to Northshore Council PTSA to share the speech she gave as she presented Nancy with the award at the 2020 WSPTA Convention.

Washington State PTA Outstanding 2020 Advocate Award

The Washington State PTA Outstanding Advocate award recognizes the individual who goes way beyond the call of duty at both the state and local level to advocate for the health, education and well-being for children and youth.

Our Outstanding Advocate for 2020 is a remarkable individual with a rich history.

This individual:
  • Has over 15 years volunteering and serving in leadership roles
  • Served as her local advocacy chair at all 5 of her kid’s schools
  • She also been a local president, local treasurer and many council positions including advocacy
  • Like me, she’s an east coaster who got involved with advocacy after learning about ed funding
  • Learning about the school levy campaign at her local PTA meeting, she jumped into the simple majority for levy campaign with both feet and hasn’t looked back from realizing PTA’S powerful voice for kids
  • She’s often referred to as “an education google” because she has so much info both in her head and at her fingertips
  • She’s been on many local district task forces -- later start times, middle school honors, highly capable, keeping 5th grade camps, grade reconfiguration, and others programs that benefit all kids, not just her kids.
  • She’s extremely well respected by her local school district superintendent, the staff and can often be seen toting around large binders of background info.
  • Her advocacy extends beyond PTA and she never shies away from leadership roles. She’s served as a leader in Girl Scouts, and served her local community as an elected precinct committee officer.
  • She has a powerful presence in her community. She co-founded and still co-moderates a district-wide social media group that helps keep communication transparent in her school district. This group inspired other advocates to start their own local district wide online groups.
  • She’s has the fastest thumbs on the internet, day or night and averages 3.5 second response time for a like and 1.5 seconds for a frown

  • She is a relentless advocate for children who has worked on the local School bond and levy committee
  • She’s no stranger to testifying in front of school boards, the legislators or other decision-making bodies. Her comments are always on point and very well respected by all.
  • This individual is comfortable in many settings whether hiking in the wilderness, boating on the sound, chairing a PTA committee meeting, teaching in a classroom, staying on top of social media, or smiling while meeting with friends…all the time advocating for those in need and those who cannot advocate for themselves, Washington’s children.
  • She firmly believes wine and coffee are food group and is dedicated to meeting the daily recommended intake.

  • She’s said that I was her mentor but I’ve learned so much for her! We’ve mentored each other for years.
  • She was a recent WSPTA Advocacy Director who helped reinvent Legislative Assembly with presentations and more opportunities to caucus.
  • She’s never turned down an opportunity to identify and fix a problem. She goes the next steps to develop a fact sheet so everyone will have the information and benefit.
  • She has made a difference for the children in her home, the children of Woodinville, the children of Northshore School District, the children of Washington State and all children in the United States, and she’s not done yet!

Each year, Washington State PTA recognizes the work of individuals, PTAs and Councils across the state via a variety of awards, including Leadership Academy and the Awards of Excellence Program. Some of our amazing Northshore PTAs submitted applications and were recognized for their efforts at the 2020 WSPTA Annual Convention in May.

Awards work to celebrate the efforts of local PTAs and Councils in a variety of different areas. The criteria reflect a strong knowledge and application of best practices and the submission process can be rigorous. These awards are truly reflective of the dedication and strength of these PTAs and the  powerful contributions they make in their communities.

PTAs and Coronavirus: Finish Strong

As we spend our final months of the school year still under stay-at-home orders, and our children realize they will not be in a classroom again before fall, it’s easy to lose track of the year-end stuff our PTAs still need to take care of-- the things we have to accomplish as well as all those things that it would be nice to be able to do.
Must Dos:
There are two things a PTA must do before the end of the year: approve the budget for next year and elect new officers.
Elections
Hopefully by now you have seen the guidelines for holding an election virtually. If not, there are more details in this article on the WSPTA website as well as some resources on our website.

Once you have elected your 2020-21 officers, be sure to email all of your officer information to support@wastatepta.org. For each officer (new and returning) they will need:
  • Name
  • Position
  • Email address
  • Cell phone number
Budgets: Everyone’s Favorite Topic
We need to look at our budgets differently than we would have two months ago. Depending on if you had a spring fundraiser you could no longer hold and on how many budgeted expenses you no longer have (Field Day is probably giving us all a nice budget buffer this year), you are most likely ending the year with a final bank balance much different than originally expected. With that in mind you should expect fall fundraising efforts to bring in less funds than usual. You may also want to modify some of your fall events to more community-based, lower cost or even virtual events. Look at ways to tweak your expenses for next year to lower them if possible.
If it looks like you will start off the year with a stronger account balance than usual, you may also want to consider increasing scholarship lines since there will probably be more aid requests next year as our state continues to have record unemployment levels. Finally, since economic and health standards are constantly changing in 2020, remember that there will be opportunity over the summer for the new board to make adjustments to the budget if it looks like circumstances will change drastically by the fall. Remember: Budget decisions you make now will not bind you for the whole next year.

Other Stuff (things you don't have to do, but may want to consider)
Staff Appreciation
This week (May 4-8) is Staff Appreciation Week and there have already been a lot of wonderful online thank yous to school and district staff, admin and teachers. Please encourage your families to keep the appreciation going all week long and use the hashtag #ThankATeacher in all appreciation posts. Some suggestions compiled by National PTA include:

  • Email heartfelt letters, cards and messages of appreciation,
  • Create artwork, poems and video messages to celebrate your teachers and staff
  • On Thursday, upload a #TBT of you and your favorite teacher or staff member and thank them using #ThankATeacher
Awards: to do or not to do
We have seen lots of debate over whether or not to do awards (Golden Acorn, Outstanding Educator, Outstanding Advocate, etc) this year, and most of the PTAs in our area have decided to do move forward with them. Our recognition ceremonies will definitely look different this year, but there are two big reasons to do award this year: something happy and positive is always a good thing in “emotionally down” times like now, and we are seeing some amazing volunteers stand out with all they are doing to help during this crisis. With so many great options of people to recognize, why not take advantage of it? Plus, the award fees go to the State PTA scholarship fund—a win win situation! Council is looking forward to seeing what kind of creative ways our PTAs will recognize their award recipients this year.
Year-end “Graduation” Celebrations (5th, 8th, 12th grades)
Year-end “Moving On” Celebrations for kids on their last year at their school is another big thing on many PTA minds. By now, most of our high school seniors have received house signs recognizing them as 2020 grads. Some parents have also ordered signs from local sign companies for 8th grade graduates moving up to high school and 5th grade graduates moving up to middle school. If this is not already under way in your school, this is a great thing for PTAs to help coordinate and share the purchase info with your school communities. For more celebratory planning, PTA celebration chairs should meet with school admin to see how you can collaborate on this.

Thank you all for all that you do. I am constantly impressed by the amazing ways I am seeing our Northshore PTAs adapt to this new normal, support their school communities, and keep their kids engaged. I’m sure some of you are already a step ahead of these suggestions, but we wanted to compile some of the key takeaways from our weekly roundtables in one place. We will continue to hold our weekly roundtables on Tuesdays at 12:00 through the end of the school year. If you haven’t joined us yet, please do!
